Private Client privacy notice

Federal Bid Partners Private Client is designed to show authenticated clients their services, files, invoices, requests, messages, and related account activity. We use identity and portal data to secure access, provide client support, process service requests, and maintain reliable account records.
Information used by the portal
The portal may process account profile details, authentication identifiers, service and pursuit metadata, messages, files, invoices, payment links, and support requests associated with your Federal Bid Partners relationship.
Purchases and agreement records
For portal checkout, we retain selected services, quantities, prices, project references, the accepted agreement version and content hash, acceptance time, available ingress IP address, and browser user-agent information. Stripe collects payment and billing details; card numbers are not entered into or stored by this portal. We retain Stripe order references, payment status, the purchaser email, authorized representative and business fields, and available invoice links.
We use these records to administer your engagement, reconcile payments, protect access, answer questions and maintain acceptance evidence. An IP address and typed name do not independently verify a person's identity. Order conversations and account-connection requests are stored for authorized customer support. Connecting an account requires verified purchase-email access or team review.
Cart contents are stored in this browser tab. A secure browser cookie, lasting up to 30 days, helps prevent duplicate checkout attempts and supports purchase-connection requests. Records are retained as needed for service administration, accounting, security and applicable legal obligations. Contact our team about access, correction or deletion requests and any required retention limits.
Job applications
Candidate accounts store contact details, experience, education, skills, availability, application answers, uploaded resumes and supporting documents. Drafts are available to the applicant; submitting makes the application available to authorized hiring staff. We retain the submitted version, hiring status, follow-up messages and internal review notes to administer recruitment. Candidate accounts do not grant employee or client access.
Supabase provides authentication and private file storage. Resend processes your account email and application reference to send a submission confirmation. We use these records to evaluate and respond to your application. You can withdraw an application from your candidate portal; withdrawal closes consideration and does not automatically delete records. For access, correction, deletion or retention questions, contact admin@federalbidpartners.com. Do not include sensitive identification numbers or financial information in an application.
School autocomplete sends only the school name you enter to Wikidata to find public institution suggestions. You can enter a custom school instead. Optional recruiting text-message consent is stored separately from required application accuracy and privacy agreement.
How it is protected
Client information is not displayed before authentication. Access is controlled through Supabase Auth and Federal Bid Partners private-client APIs. Do not share portal access links or credentials with anyone not authorized on your account.
How we use portal activity
We use portal activity to deliver client services, respond to support requests, prepare proposal and signature workflows, maintain billing records, route website edit requests, and keep account history available to the Federal Bid Partners team serving your account.
Staff email and assistance
With a staff member’s Microsoft authorization, the portal can read messages and attachments from that person’s work mailbox. Message text is displayed on request, and attachments download only when selected. Company activity reports use message metadata and may be held in a short-lived server cache. Personal mailbox connections remain separate from company administration permissions.
When a staff member requests email assistance, the selected message text is sent to our AI provider to prepare suggestions. Attachments are not included in this analysis. Suggestions require human review and do not send messages or complete work automatically. Connection and access activity may be retained for security and service administration.
Connected workflows
Invoice PDFs, payment links, e-signature packets, document previews, and website materials may be handled by connected providers when needed to complete the requested workflow. Those systems should only receive the information needed for the related client action.
Your choices
If a team member should be added or removed, a document needs correction, or an invoice or service record looks wrong, use Concierge or Support so the request stays tied to your client account.
